Managed Email Security
The SNDataCenter Email Security Solution provides highly effective spam and virus detection, requires absolutely no maintenance and is completely compatible with all email programs.
There is nothing to install, license or maintain. Since there is no risk - no software to load, no equipment to configure - there are no unplanned IT expenses. Pricing is based simply on the length of a subscription and the number of users - a cost that includes spam filtering, protection against viruses, and backup mail service.
How a managed service works
The path of an email message.
When an email message is sent over the Internet, it is directed to one or more email servers that are designated for the recipient's domain name. For example, an email message sent to john@widgets.com would travel across the Internet to the mail server for widgets.com - this might be a server called mail.widgets.com.
The information about which mail server(s) should receive email for a given domain is contained in that domain's DNS (Domain Name Service) records. In our example, the widgets.com domain would have in its DNS records an entry - known as an "MX" (mail exchanger) record - that directs all inbound email destined for widgets.com to the server named mail.widgets.com.It is a simple process to change the MX record for a given domain so that inbound email is redirected to systems that filter the inbound messages for spam and viruses. Those systems, hosted by a managed service, in turn deliver the filtered messages to the organization's mail server.
Where SNDataCenter Email Security fits in
SitesNow maintains highly specialized systems that do exactly that. Inbound email is automatically filtered - in under one second - then delivered to a company's mail server, whether that mail server is hosted at the company's office or at a third-party location such as an Internet Service Provider.
Tens of thousands of companies use this approach because it is simple to implement, compatible with any existing mail server and a very effective defense against spam and email-based viruses.
Get started in minutes
To activate SNDataCenter Email Security all that is necessary is the MX record change that enables incoming email to be seamlessly routed through the SNDataCenter service. Typically, this simple change can be completed within a few minutes and customers begin experiencing the benefits as soon as the change is made. There is no interruption to an organization's email nor are any changes necessary with the company's mail server or email software.
How we analyze messages
A multi-layered approach
The SNDataCenter Email Security Solution uses a multi-layered approach to message analysis, using a wide variety of tests to accurately detect junk mail. These tests include established, widely deployed techniques, as well as several proprietary next-generation approaches that leverage SitesNow's experience in processing billions of messages.
Ensuring accuracy
In order to avoid legitimate messages being erroneously identified as spam, the solution is designed so that no single test by itself will tag a message as spam. At the same time, the large number of tests, combined with our wide breadth of spam identification techniques, makes it extremely difficult for junk mail to pass through undetected.Combining proven and next-generation techniques
SNDataCenter Email Security incorporates traditional spam detection techniques:
- continuously updated heuristic rules that identify common phrases or patterns in spam message body text or headers;
- message signature analysis to compare the "fingerprint" of incoming email messages to known junk mail;
- blacklists of mail servers, domains, or networks known to be used by spammers;
- message authenticity checks based on header analysis and other data;
- a probabilistic engine using Bayesian algorithms to assess the likelihood of a message being spam; and
- company-specific whitelists and blacklists that allow or reject messages based on the sender
SNDataCenter Email Security also utilizes next-generation techniques such as real-time message source analysis; graphics analysis; advanced authenticity checks; dynamic feedback-based rules optimization; user-based message profiling; and reputation analysis.
Together, these elements provide a proven, highly effective system for accurately identifying junk mail.
How SPAM and infected email are handled
The default and most common SNDataCenter Email Security setup quarantines spam for 7 days. Daily quarantine reports are sent to each user with the ability to request the release of a specific piece of mail. Virus infected email is destroyed upon entering the SNDataCenter Email Security system.
Other delivery options include:
- Drop detected spam - an aggressive approach that reduces a customer's network bandwidth requirements and mail server load. Due to our extremely low percentage of "false positives" it is very rare that a legitimate email message will be dropped.
- Tag and forward detected spam - with a modified subject line, incoming email can be automatically directed to a specific folder in each user's email program for periodic review and/or deletion.
- Redirect detected spam - junk mail can be directed to an alternative address, e.g., spam@example.com.
Customers can change how SPAM is handled at any time by contacting a support representative.
True Continuity
Email is a critical business tool. For most organizations, inability to access or use email - even for a limited time - has a substantial cost in productivity and often in revenue as well.
In the event that the customer's mail server is temporarily down or inaccessible, SNDataCenter acts as a message queue. No messages are lost and people who send email to that organization don't receive error messages; SNDataCenter simply stores those messages and delivers them once the customer's mail server is back online. SNDataCenter uses a timing algorithm to deliver queued messages to ensure that the customer's mail server is not overwhelmed with a sudden barrage of queued messages once the server is back up and running.
